Lycoming College is hiring an Executive Administrative Assistant to the Vice President for College Advancement

The primary purpose of this role is to provide administrative support for College Advancement, including the vice president for college advancement (VPA), advancement operations, alumni engagement and annual fund, foundations and corporate relations, and major and planned gifts. This individual will coordinate and work closely with other administrative offices, including the president’s office, to support institutional events and programs.
This is a full-time position with hours primarily Monday through Friday 8a-4:30pm but with a mixture of evenings and weekends based on events that are occurring.

What will I do in this role? 
  • Responsible for general office management, including answering phone calls, separating on campus and off campus mail, ordering supplies, making copies/scanning, and responding to special requests or needs from senior administrators, alumni, and donors.
  • Responsible for the coordination of the Vice President for College Advancement's (VPA) meetings, calendar, travel, and interactions/support with other senior staff offices and other administrative assistants.
  • Responsible for planning all advancement staff meetings and any meeting set by the VPA. This includes agenda, meeting minutes, and follow-up from previous meetings.
  • Prepares letters and responses from the Office of the VPA related to institutional correspondence, routine inquiries, and formal communications.
  • Provides travel support for the VPA, including making calls to donors to schedule appointments, making travel arrangements/accommodations, and making meeting reservations, entering actions into Raisers Edge, updating Outlook calendar to reflect travel, creating itineraries, and preparing draft contact reports.
  • Prepares agendas, materials, and minutes for meetings of the Advancement committee of the Board of Trustees.
  • Supports the VPA in the planning and executing of meetings of the President’s Leadership Council, including the recording of minutes.
  • Daily receives and distributes all Advancement mail; and sorts gifts received for processing.
  • Work closely with associate vice president for alumni engagement and senior director of advancement operations to manage special projects and administrative needs across the division.
  • Prepare and coordinate monthly stewardship communications and anniversary solicitations, including communication with front line gift officers regarding assigned prospects.
  • Serve as a resource for externally related activities and broader campus events that may include Board of Trustee meetings, Homecoming, Christmas Candlelight reception, and community meetings with external stakeholders.
  • Provide support for Advancement and Alumni events and programs such as Homecoming, Alumni & Reunion Weekend and Commencement, including coordination of registration and serving as point person for guests arriving on campus; some evening and weekend hours required.
  • Work closely with the president's office to coordinate activities between the President of the College and the VPA with a particular focus on travel for fundraising and alumni engagement.
  • Greet visitors to the Office of the VPA and determine whether they should be given access to specific individuals.
  • Prepare reports, memos, letters, financial statements, and other documents, using Word, Excel, Raisers Edge, and/or PowerPoint.
  • Read and analyze all incoming memos, submissions, and reports in order to determine their significance and plan their distribution.
  • Reconcile and manage P-card usage for members of the College Advancement team.
  • Maintain confidentiality in all office assignments

Educational & Professional Requirements
  • Associate degree required; Bachelor’s degree preferred
Experience and Qualifications:            
  • Minimum two years of experience providing administrative support in an office setting strongly preferred.
  • Knowledge of Microsoft Office products (Word and Excel) and experience using email and the internet is required. Familiarity with customer relationship management database preferred.
  • Ability to read, interpret, and carry out verbal and written instructions.
  • Ability to work both independently and as a member of a team.
  • Ability to respond to constituent inquires with accurate and timely information.
  • Experience with grammatical editing, formatting, mail merges, and managing bulk mailings.
  • Demonstrates professionalism and contributes to fostering a positive work/learning environment.
  • Demonstrates effective organizational and time management skills.
  • Demonstrates excellent communication skills (verbal and written); along with exceptional interpersonal and customer service competences.
