Lycoming College is searching for two Administrative Assistants to join their Academic Affairs team!
The Faculty Administrative Assistant is a full-time, 10-month position that provides administrative and clerical support to faculty members and academic departments within Academic Affairs. This role supports daily department operations, coordinates communication and records, assists with events and travel, and plays a key role in supporting Phi Kappa Phi Honor Society and Lycoming College’s Fulbright Foreign Language Teaching Assistants.
The Administrative Assistant for the Center of Enhanced Academic Experiences and the Associate Provost for Academic Excellence is a full-time, 9-month position that provides high-level administrative, operational, and front-office support for academic excellence initiatives within Academic Affairs. This role supports the daily coordination of the Center of Enhanced Academic Experiences, provides direct administrative support to the Associate Provost for Academic Excellence, and serves as a welcoming point of contact for students, faculty, staff, families, and campus partners.

What will I do in this role?
Both Administrative Assistants will provide professional, reliable, and student-centered administrative support within Academic Affairs. Core responsibilities include managing calendars and communications, preparing documents and reports, maintaining accurate records and files, processing invoices, reconciling purchasing card statements, ordering supplies, coordinating mail, supporting office equipment and technology needs, submitting work order requests, and providing responsive customer service to students, faculty, staff, and campus visitors. Both positions require sound judgment, discretion, and the ability to maintain confidentiality.
The Faculty Administrative Assistant will provide direct support to faculty, department chairs, academic programs, and departmental operations. This position will assist with textbook orders, syllabi collection, letters of recommendation, travel expenses, room reservations, field trip and event arrangements, and occasional test proctoring. The role will also coordinate special events such as colloquia, honor society activities, guest lectures, candidate visits, and distinguished guest itineraries. In addition, this position will support the Phi Kappa Phi Honor Society by assisting with membership invitations, recordkeeping, finances, annual events, lectureship arrangements, and annual reports. The position will also support Fulbright Foreign Language Teaching Assistants by helping with application materials, communications, orientation scheduling, student mentor coordination, and ongoing academic-year support.
The Administrative Assistant for the Center of Enhanced Academic Experiences and the Associate Provost for Academic Excellence will provide direct administrative support to the Associate Provost and assist with the operational needs of the Center. This position will coordinate meetings, agendas, materials, room reservations, minutes, follow-up communication, scheduling priorities, front-office services, data tracking, communication campaigns, shared digital resources, website and SharePoint content, and academic excellence programming. The role will also support student academic success initiatives, faculty-facing events, student outreach, referrals, reporting needs, office workflows, and collaboration with campus partners.

We are looking for organized, dependable, and service-oriented professionals who enjoy supporting students, faculty, staff, and campus partners in a busy academic environment. Successful candidates will be able to work independently, manage competing priorities, communicate clearly and professionally, maintain accurate records, and exercise discretion with confidential information. Candidates should bring strong writing and proofreading skills, sound judgment, attention to detail, and a commitment to providing a positive and welcoming experience for all members of the College community.
For both Administrative Assistant roles, a high school diploma is required. An associate’s degree or bachelor’s degree is preferred but not required. Candidates should have a minimum of two years of significant experience in an office or administrative support setting, strong Microsoft Office or Microsoft 365 skills, the ability to learn new applications, and the ability to plan, coordinate, and support work involving multiple constituents.
Experience in higher education, Academic Affairs, student support, or a professional office environment is preferred. Experience supporting senior leaders, managing calendars, coordinating meetings, working with shared digital resources, and maintaining confidentiality is also helpful.
